Booking Terms and Conditions

Any reference to either ‘us’ or ‘we’ in this Agreement refers to the property Landlord. “you” or “your” are references to the person making the booking and all members of the holiday party. So that you understand the basis of the contract between you and us when you book your accommodation, we have laid out as clearly as possible, the conditions on which your booking is made. Nothing in these conditions affects your normal statutory rights.

The Tenant(s):
For the purpose of this agreement, the Tenant(s) are defined as the persons that agree to rent a property for any specified period, for any specified sum of money from Edinburgh Hideaways. The payments for rent and email/telephone communications will form the basis for the contract between the Tenant(s) and Edinburgh Hideaways.

Term:
As agreed, commencing at 15:00 on arrival day and expiring at 11.00 on departure day.

Rent:
As agreed sum for specified amount of persons in property.

Booking Deposit:
25% of the rent.

Keys:
After receiving full payment, we will provide you with a code for a secure key box or secure access code at the property you have booked so you can let yourself/ yourselves in at a time that suits after check in time of 3pm. If you have specific needs and so prefer to have a meet and greet service at the property, just let us know and we will try to accommodate this.

Linen:
All Edinburgh Hideaways apartments are supplied with pillows, duvets and bed linen. Towels are also included in the price.

 

Terms and Conditions of Hire:

1. Your booking:
A deposit of 25% of the booking price is payable at the time of booking. At this point, your booking becomes binding. The balance of the booking cost must be received by us no later than 28 days before your arrival date. If you are booking within 28 days of the start of your holiday, payment in full is required. Information including directions and access instructions are issued on receipt of the final payment.

If you are paying from outside the UK via Paypal or via bank transfer, please ensure that the full deposit or payment amount in ‘UK pounds sterling’ is received into our account. You can do this by ensuring to instruct your bank that you accept ‘all charges’ and do not request to ‘share’ the transfer charges with the beneficiary. Even some UK-based bank or Paypal accounts charge customers for payments – please ensure that any fees are not deducted from your payment and that we receive the payment in full.

3. Cancellation of booking by you:

Full Payment:

(a) Cancellation at least four weeks in advance of your stay: If you cancel at least four weeks before your stay, you will forfeit 25% of the total cost of the rental price. The remainder of the payment will be returned to you.

(b) Cancellation within one and four weeks of your stay: If you cancel between one and four weeks before your stay, you will forfeit 50% of the total cost of the rental price. The remainder of the payment will be returned to you.

(c) Cancellation within one week of your stay: If you cancel within 7 days of your stay, you will not receive any refund of your payment.

Split Payments:
If you cancel or the balance is not paid on time, the booking deposit cannot be refunded.
If the balance payment is not received at least two weeks before the holiday starts, the booking will be automatically cancelled.
We recommend you use holiday cancellation insurance to cover the cost of your holiday. This will provide you with peace of mind if an unforeseen event forces you to cancel your holiday.

4. Cancellation of booking by us:
If we have to cancel your booking in advance for any reason, you will be refunded the full amount of the booking. No additional compensation will be payable.

5. Change of booking by you:
If you want to change the date of your confirmed booking at least four weeks before your stay, we will do our best to make the changes if we have the requested availability and this will not incur any administration fee. However, your new dates will be charged at current website prices which may be more than the price at which you originally booked your stay – in which case you will be required to pay the difference in this rental price.

If you request to change the date of your confirmed booking within four weeks of your stay, this will be treated as a cancellation and our cancellation charges will apply (see section 3 above). If we are able to accommodate your revised rental dates and are able to rent out the released dates, we may not apply these cancellation charges but this will be at our discretion and consideration will be given to whether the released dates are booked again partially or fully.

If we are unable to accommodate your requested change of date and you need to cancel, cancellation charges will apply (see section 3 above).

6. Damages to property, breakages or loss:
You are responsible to the Landlord for the actual costs of any breakage or damage in or to the accommodation, along with any administration costs that may result, which are caused by you or your party. You will be asked to pay for any such damage or it will be deducted from your damage security deposit. Any damage must be reported immediately to the Landlord. No repairs of any kind to the property or contents must be attempted by you or your party. (Don’t worry, we won’t charge you for the odd plate or glass being broken!)

7. Accidents, injury and personal property and breach of contracts:
This property is maintained and certified in a proper manner. The Landlord has no liability to you for personal injury to you or any member of your party where accidents occur. You must take all necessary steps to safeguard your personal property. No liability to you is accepted in respect of damage to or loss of such property. Any alleged breach of contracts and subsequent damages shall have no value greater than cost of guest accommodation booking.

We provide a maid and child-minding service using highly experienced and trusted persons. However, neither Edinburgh Hideaways or those providing these services are responsible for any accidents or injuries.

8. During your stay:
Access: The Landlord is entitled to refuse to hand over to you or to repossess the accommodation if she reasonably believes that any damage is likely to be caused by you or your party or can repossess the accommodation if damage has been caused. You must allow the Landlord or any representative of the Landlord access to the property at any reasonable time during your stay.

Number of tenants: You cannot allow more people than you have booked to stay in the accommodation, nor can you significantly change the makeup of the party during the duration of your stay in the accommodation. There will be a £100 fee for any additional previously unconfirmed person staying at the property.

Smoking: The properties are entirely non-smoking and you agree not to smoke in any part of the apartments or communal parts of the building. Failure to adhere will result in £100 charge or your deposit being retained.

Security: You must secure the property (locking all windows and doors) when you are not in residence. You will be held accountable for any damage caused/theft in the event of any break-in if you do not uphold these security measures.

Noise: We ask that you please respect your neighbours and keep the noise to a reasonable level. In the event of excess noise levels which cause a disturbance locally, we will charge a fee of £100. We appreciate your cooperation and understanding.

Complaints: We pride ourselves on the high quality of our accommodation and every effort has been made to ensure this high quality is maintained. However, in the unlikely event of dissatisfaction with the property, you should immediately contact us so that the opportunity to rectify the problem is given.

9. Pets:
We have a no pet policy that is non-negotiable with the exception of guide dogs by arrangement.

10. Cleaning / your departure:
You agree to keep the accommodation clean and tidy as found and leave the accommodation in a similar condition. A basic level of cleanliness and rubbish disposal/recycling is required on your departure.

This also applies to smoking in any surrounding parts of the building, including in doorways, and disposal of cigarette butts in adjoining/outside areas.

a. Please wash dishes or load dishwasher if provided.
b. Dispose of rubbish using bin bags/recycling containers provided.
c. Please leave keys clearly within the property.

You do not need to contact us when you leave though it is appreciated if you let us know if you leave earlier than the check out time so we have longer to prepare for our next guests.
If these requirements are not adhered to, a charge of up to £100 will be payable, or your deposit may be retained.

The Landlord hereby agrees to let the Property and the Tenant, by booking with Edinburgh Hideaways, hereby agrees to take the Property for the rent and term in accordance with the conditions stated within this agreement.
